To all ODS Track Administrators,
Over the weekend we have rolled out the "Email Settings" feature of ODS Track. You can now fine-tune control over who gets particular types of emails from the ODS Track system. Project Administrators can access the Email Settings for a project from the Project Homepage under the "Admin -> Email Settings" dropdown menu in the top navigation bar.
Further details of the Email Settings feature are included in the documentation pages here:
https://www.ods-track.com/tools/ods-track/documentation/advanced-features/email-settings/
As always we appreciate any feedback you may have or notifications regarding unexpected behaviour or possible bugs.
Note: We have not allowed individuals to control their own settings. This has been done to avoid the situation where someone might turn off all email notifications for themselves against the wishes of the Project Administrators. The best way for an individual project member to turn off certain email notifications is to communicate this to one of the Project Administrators directly who can then adjust their settings accordingly.
Helpful tip: We also advise all Project Administrators to regularly check the "Email Statistics" page. This page gives feedback on the number and type of emails which are issued as well as responses and bounce-backs for each project member. Monitoring these statistics will give you a good gauge as to the effectiveness of your strategy for setting due dates and issuing reminders and overdue notices. Simply setting a due-date for a short time period and flooding the project team with overdue notices will likely not be very effective and will desensitise the project team to the overdue notices. For example: If you find a large number of overdue notices are being issued to a particular individual then you may want to consider contacting communicating with that person and understanding the cause of the delays and adjust the due-dates and overdue-reminder frequency accordingly.
Regard,
Mark Pitman
To all ODS Track Administrators,
You will notice that we have released a new front-end interface to the ODS Track and ODS Engineering sites over the weekend.
We've rebuilt the front-end from the ground-up in order to:
This new front-end should work on most mobile devices and be compatible across more browser types. Although it appears to be quite a major change visually, the actual site functionality remains unchanged in this release. I encourange all administrators to log in and familiarize themselves with the new interface. Also try it on iphones and android mobiles and tablets also if you wish, the site should render much better on those devices.
As always we appreciate any feedback you might have on the changes. If you find any bugs or issues or notice any pages that are not formatting correctly then please don't hesitate to contact us to report the issue using the "Contact" form at www.ods-engineering.com/contact/. If it is an issue with a particular page then please send us the URL by copy-pasting from your browser.
Kind regard,
Mark Pitman
Dear ODS Track Administrators,
New templates are now available in ODS Track for the Singaporean Green Mark tool. Templates are available for the current v4.1 tool as well as the very new v5 PILOT. The templates are avilable under the "PUBLIC TEMPLATES" dropdown when you create a new tracker and are labelled as follows:
To all ODS Track Administrators,
This is to inform you of important updates to the ODS Track system which were rolled out today the 4th of July 2015. The following update has been rolled out:
Further details on these features are described below.
Document QA information is not included in the Header of every page of PDF reports.
The information included in the header is as follows:
The "Comprehensive Project Report" may be generated by clicking on the button labelled "Print Obj/Desc to PDF" on the left-hand-side of the "Tracker Overview" page. Previously this generated a simple report which printed only the Objectives and Descriptions of each Credit/Package. This has now been expanded to provide a complete comprehensive report of the entire Tracker in a single PDF. For custom-trackers and QA-processes this report could be used to generate a complete "Ratings Manual" or "QA Manual" based on the information that is included in a tracker or tracker-template. Thus one is able to use ODS Track as a complete framework for the development of new methodolgies and processes.
The following additional reporting:
If you have any queries regarding this new feature please don't hesitate to contact Mark Pitman or Tom Beckerling.
The ODS Track document mangement system is is a document and submission management framework which centralises and automates a large amount of document gathering, filing; reviewing and associated emailing of comments and reminders. On a typical Green Star Design v3 project it has been demonstrated to reduce the administrative burden of several thousands of emails of comments and reminders; automate filing and management of several hundred documents; increase the round 1 result and obtain the rating faster. If you would like to adopt ODS Track on your project then please respond to this email or contact us through our website to set up a company account which will give you unlimited access to the system.
You are recieving this email because you on the ODS Track system as a Project Administrator. If you would like to stop receiving these emails please log into the ODS Track system and remove yourself as a project administrator or simply reply to this email for assistance.

To all ODS Track Administrators,
This is to inform you of important updates to the ODS Track system which were rolled out today the 16th of April 2015. The following major updates have been rolled out:
You can now maintain multiple revisions of credits in both templates as well as local "project-level" trackers. This replaces the old "edit local copy" feature which was used to edit credit descriptions and objectives. You can create/edit and select revisions for credits from the revision-control drop-down menus at the top-right of the Credit page.
Previous credits that were edited via the "Edit Local Copy" method have been ported across as a new "Local Revision" under the new system. This change is seamless and no action is required from the administrators.
The advantage of the new method is:
Documents may now be uploaded to a template and projects that are based on that template now have the option to pull those documents into their projects. This may be selected from the menu on the left-hand-side of the "Tracker Overview" page under the heading "Admin Options."
This may be useful if:
Documents may be uploaded to the template at any time and will be pulled into the project so long as the project-level document has not been edited or deleted. If the project-level document has been edited or deleted then the project-admin will have to use the "Reinstate Default Documents" operation from the Credit homepage to reinstate that document from the template.
The tracker database may now be dumped to a text-based open-source format (JSON). All of the tracker information including comment history and scores are included in that file. In theory the tracker could be re-instated on any platform from the information contained in that file. This may be useful if:
We have developed an Infrastructure Sustainability Council of Austraia (ISCA) infrastructure-rating tool template. This template is not currently available publicly due to copyright limitations by the ISCA. The template may be provided for your project upon proof of project registration.
You may now print an entire tracker to a PDF-document. This is useful if you have developed a custom tracker or other custom-QA system and would like to generate your own technical manual that is based on the system. This along with the above features make the ODS-Track platform suitable as a complete platform for the development of new tools, as well as maintenance and distribution of those tools.
